1. Registration Policy

• At least one author of each paper accepted in the main track (including PAIS) must register for the main conference, at the non-student rate (EurAI Member or Non-Member), by the early registration deadline. This applies even if all authors are students. This is a prerequisite for inclusion in the proceedings. We reserve the right to mark papers as no-shows on the conference website if they are not presented at the conference. This does not apply to papers accepted in Workshops.

• The early registration deadline is 19 August 2024. After that, standard registration is possible until 3 October 2024. After that, only onsite registration will be possible. All deadlines are at the end of the day specified, anywhere on Earth (UTC-12).

• To qualify as a EurAI member you are required to provide a valid certificate provided by your EurAI member society (https://eurai.org/members).

• To qualify for the student rate, attendants are required to provide a copy of a valid ID that certifies their full-time student status by uploading a PDF copy through registration. Note that PhD candidates qualify as students.

• All registrations include coffee breaks and lunches onsite during the duration of the scientific events. The conference dinner is not included. If you want to attend the conference dinner, you need to buy a ticket. It is worth noting that the number of dinner tickets is limited. First come, first served, until sold out.

• Each non-student registration for the main conference covers a maximum of two papers to be published in the proceedings. The presentation of any further paper in the main conference will incur an extra charge of € 200. A single registration can cover a maximum of five papers total.

• Authors of papers accepted in the main conference (including PAIS) may purchase up to two extra pages in the proceedings, for € 250 per page. This is not intended to be used to add significant material that has not been reviewed but to allow authors to account for reviewer suggestions. The extra income generated in this manner will get channeled back into the community through travel grants and the like.

2. Cancellation of Conference Registration

To cancel your registration, written notification must be sent by email to technicalsecretariat@ecai2024.eu

The following refund conditions apply:

• If the registration is the only registration covering a given paper to be included in the proceedings of the main conference, then no refund is possible.

• In case of cancellation on or before 19 August 2024, the registration fee will be refunded with a deduction of € 50 as administration fee.

• In case of cancellation after 19 August 2024 but on or before 3 October 2024, the registration fee will be refunded with a deduction of 50% of the price as cancellation fee. The registration fee will not be refunded for cancellations received after 3 October 2024 or in case of no-shows.

3. Name Changes

Name changes are possible free of charge before 3 October 2024. In the event of a name change after this date, an administration fee of € 50 will apply. Name changes are only accepted for people working for the same organisation, replacing a registered colleague. In case of a name change, participants agree to take over all booked programme items from the originally registered participant. For each name change you must notify us by email to technicalsecretariat@ecai2024.eu

4. Information Processing

The processing of personal data, such as the name, address, email address, affiliation, and payment information of a participant shall always be in line with the General Data Protection Regulation (GDPR), and in accordance with the country-specific data protection regulations applicable to the ECAI Organisation.

5. Photograph and Video Release

For valuable consideration received, I hereby give the European Conference on Artificial Intelligence Organisation (ECAI) the absolute and irrevocable right and permission, with respect to the photographs and film or tape that it will take of me during the ECAI 2024 conference to be held during 19-24 October 2024 at Santiago de Compostela, Spain.

(1) To copyright the same in its own name or any other name that it may choose.

(2) To use, re-use, publish, and re-publish the same in whole or in part, individually or in conjunction with other photographs or images or video recordings, in any medium and for any purpose whatsoever, including (but not by way of limitation) illustration, promotion, advertising and trade, and

(3) To use my name in connection therewith if it so chooses.

I hereby release and discharge the Photographer/Camera operator, his/her heirs, executors, assigns and any designee (including any agency, client, broadcaster, periodical or other publication) from all claims and demands arising out of or in connection with the use of such photographs, film, or tape, including but not limited to any claims for defamation or invasion of privacy.

I am of legal age and have read the foregoing and fully understand the contents thereof.
